Why OnFlow Exists: A No-Code Workspace for Teams
Most teams accumulate systems that only half fit how they work, and the gaps are where work gets lost. Why OnFlow exists, how it works, who it's for and who it isn't.

Most teams don't pick their systems. They accumulate them: a spreadsheet for customers, email threads for decisions, a task app used by two people. Each piece half fits, and the gaps between them are where work gets lost.
OnFlow exists because those gaps are expensive and the usual fixes don't close them.
The problem: systems that only half fit
A patchwork of spreadsheets, email threads and half-used tools shows up the same way in almost every small team:
- Work gets lost. Nobody knows who's handling what.
- The same manual steps get repeated every day. Copying, chasing and re-keying, because nothing connects.
- The real process lives in people's heads. It takes one holiday to find out how much.
- AI is stuck outside. Your assistant can draft and think, but it can't see your records, so you copy and paste.
Why the usual answers fall short
Off-the-shelf software forces you into its way of working. If your process doesn't match, you bend your team to fit it or you end up back in a spreadsheet.
Custom software fits, but takes months and a developer, and every change means going back to that developer.
Most tools also weren't built with AI in mind, so AI sits outside them. We compare the options properly in Off-the-shelf vs custom vs build-your-own.
What OnFlow does about it
OnFlow is a no-code workspace where you build the exact system your team needs:
- Define what you track. Requests, jobs, customers, approvals, whatever your work is made of.
- Set the workflow. The stages work moves through, visible on a table, board or calendar.
- Add automations and AI agents that do the repetitive work for you.
It's also AI-native. Every feature sits behind an MCP server, so your AI assistant (Claude or any MCP-capable client) can create records, move work through a workflow, search your data and trigger automations, with the same permissions as any team member. Your team and your AI work in the same system, side by side.
You don't start from a blank canvas. The module library has Todo, Team wiki, Knowledge base, Policy library and CRM & sales pipeline, and you can reshape any of them.
Who OnFlow is for, and who it isn't
It's for teams of roughly 5 to 30 people who have outgrown spreadsheets and half-fitting tools, run on processes of their own (agencies, professional-services firms and other operations-heavy teams are where we're starting) and already use an AI assistant day to day.
It isn't for you if:
- A standard tool already fits your process. Use it.
- You need a large, procurement-led rollout or a formal compliance programme before you can run a trial. That isn't where we're focused today. Talk to us first.
- You depend on a specific native integration. Check it before you commit: OnFlow offers API and MCP access and CSV import.
What your first week could look like
- Pick the process that hurts most.
- Start from a module, or build your own record types.
- Bring in your real records with CSV import.
- Connect Claude or another MCP-capable client and ask it a real question about your work. Here's how.
- Agree one thing to get done with it this week.
How long this takes depends on how far your process differs from the starting point. The aim is a working system in your first week, not a project that takes a quarter.
Where it came from
I'm Rob, the founder, with more than 15 years in software engineering. OnFlow started as a handful of tools I built to run my own work. Over a few pivots I realised there was a single flexible solution that could solve all of those problems, so I combined them into one platform. I run OnFlow's own product, marketing and knowledge base in OnFlow, and this post is a record in it too.
Try it
Start your 30-day free trial with the module closest to your problem, or book a 20-minute setup call. Plans start at $20 per seat per month. A payment method is required to start the trial, you won't be charged until it ends, and you can cancel any time.
OnFlow: built from real problems, for your team and your AI.
FAQ
Who is behind OnFlow?
OnFlow is built by Rob Caiger, a founder with more than 15 years in software engineering. OnFlow is a trading name of Aaptera Ltd, a company registered in England and Wales.
Is it safe to put client data in OnFlow?
OnFlow has role-based access control and an audit trail. Records and files are stored in the UK, customer content isn't used for training, and the Customer Agreement and DPA are published. If you need a formal compliance programme before you start, talk to us first.
Can I talk to someone before I try it?
Yes. You can book a 20-minute setup call to pick a module, import a sample of your data and connect your AI. It's not a sales demo.
What does it cost?
Business Starter is $20 per seat per month, Growth is $50 and Scale is $150, excluding tax. Every plan includes API and MCP access and starts with a 30-day free trial.
